Terms of Service

This page is maintained by RecruitLinx, LLC to describe the terms under which Recruit Passport and RecruitLinx services are offered. It is provided for transparency and is not legal advice. If a provision here conflicts with a separate written agreement you have signed with us, that agreement controls.
1. Who we are
Recruit Passport and the RecruitLinx network (together, the “Services”) are operated by RecruitLinx, LLC (“RecruitLinx,” “we,” “us,” or “our”). By creating an account or using the Services, you agree to these Terms of Service (the “Terms”) and to our Privacy Policy.
2. Who can use Recruit Passport
Recruit Passport is designed for student-athletes, their parents/guardians, and college coaches and programs. You may use the Services if you are at least 13 years old. If you are under 18, a parent or legal guardian must review these Terms with you, provide consent, and co-sign your Passport. Coaches must represent that they are acting on behalf of an accredited college, university, or recognized program.
We may refuse, suspend, or terminate accounts that we reasonably believe misrepresent identity, affiliation, or age, or that otherwise violate these Terms.
3. Your account
You are responsible for the accuracy of the information you provide, for keeping your credentials confidential, and for activity that occurs under your account. Notify us promptly at legal@recruitlinx.ai if you believe your account has been accessed without your permission.
4. What a Recruit Passport is — and is not
A Recruit Passport is a living credential you build over time. It reflects information you provide, information contributed by people you authorize (such as a coach, parent, or verifier), and data our systems generate about your Passport’s status. It is not a guarantee of recruitment, scholarship, admission, eligibility, or athletic outcome. Coaches and programs make their own independent decisions.
Verification labels (for example, “verified,” “registrar verified,” “coach verified”) indicate that a specific piece of information has been checked against a specific source or attestation. They are not warranties of overall accuracy or of future performance.
5. Your content
You retain ownership of the content you submit to the Services (photos, video, biographical information, honors, transcripts, and similar materials — “Your Content”). By submitting Your Content, you grant RecruitLinx a worldwide, non-exclusive, royalty-free license to host, store, reproduce, adapt (for formatting and display), and transmit Your Content solely to operate and improve the Services, to make your Passport available to the audiences you authorize, and to comply with law.
You represent that you have the rights necessary to submit Your Content and that it does not violate anyone else’s rights or any applicable law.
6. Acceptable use
You agree not to:
- submit false, misleading, or fabricated athletic, academic, or identity information;
- impersonate another person, coach, program, or organization;
- harass, threaten, or contact minors outside of legitimate recruiting communication;
- scrape, copy, or redistribute Passports, coach data, or any part of the Services except as expressly permitted;
- interfere with the security, integrity, or performance of the Services;
- use the Services to violate NCAA, NAIA, NJCAA, or other governing-body rules that apply to you.
7. Coach access and communications
Verified coaches may search, save, watch, and message athletes through the Services. Athletes control what appears on their Passport and may block or report coaches at any time. Coaches agree to use athlete contact information only for good-faith recruiting communication and in compliance with applicable recruiting rules.
8. Fees
Recruit Passport is currently offered without charge to athletes in our controlled pilot. We may introduce paid features in the future; when we do, pricing and any additional terms will be presented before you are charged.
9. Intellectual property
The Services, including the Recruit Passport design system, interfaces, seals, and software, are owned by RecruitLinx or its licensors and are protected by intellectual property law. RecruitLinx™ and Recruit Passport™ are trademarks of RecruitLinx, LLC. Except for the limited rights granted in these Terms, no rights are granted to you.
10. Third-party services
The Services may link to or integrate with third-party services (for example, video providers, email delivery, or institution data). We are not responsible for third-party services, and your use of them is governed by their own terms.
11. Termination
You may close your account at any time by contacting us. We may suspend or terminate access if you violate these Terms or if we reasonably believe it is necessary to protect the Services or other users. On termination, your Passport will be deactivated; certain information may be retained as described in the Privacy Policy.
12. Disclaimers
The Services are provided “as is” and “as available.” To the fullest extent permitted by law, RecruitLinx disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Services will be uninterrupted, error-free, or that any particular recruiting outcome will result from using them.
13. Limitation of liability
To the fullest extent permitted by law, RecruitLinx and its officers, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, opportunity, or goodwill, arising out of or related to the Services. Our total liability for any claim relating to the Services will not exceed one hundred U.S. dollars (US $100).
14. Indemnification
You agree to defend and indemnify RecruitLinx against claims arising from Your Content, your use of the Services, or your violation of these Terms or applicable law.
15. Governing law and disputes
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-laws principles. The state and federal courts located in Delaware will have exclusive jurisdiction over any dispute that is not required by law to be resolved elsewhere. Nothing in this section limits any non-waivable rights you have under the law of your home jurisdiction.
16. Changes to these Terms
We may update these Terms from time to time. If a change is material, we will provide reasonable notice (for example, by email or an in-product notice) before it takes effect. Continued use of the Services after the effective date constitutes acceptance of the updated Terms.
