Privacy Policy

1. Scope

This Privacy Policy applies to information collected through the Recruit Passport and RecruitLinx websites, applications, and related services (the “Services”) operated by RecruitLinx, LLC. It does not apply to third-party sites or services that we link to but do not control.

2. Information we collect

We collect information in three ways:

• Information you give us. Account details (name, email, role), Passport content (photos, video, measurables, positions, honors, academic information, references), messages you send through the Services, and settings you choose.
• Information others contribute about you (with your authorization). Coach or verifier attestations, parent/guardian co-signatures, and program or school affiliations submitted by authorized parties.
• Information collected automatically. Device and browser data, IP address, general location derived from IP, log data, and product-usage events used to operate, secure, and improve the Services.

3. How we use information

We use information to:

• create and maintain Passports and coach accounts;
• show a Passport to the audiences an athlete authorizes (e.g., coaches the athlete shares with, or verified coaches searching within our network);
• enable messaging, saves, and watch notifications between coaches and athletes;
• verify credentials that athletes or coaches submit for verification;
• send transactional messages (account, security, and recruiting activity you asked to be notified about);
• protect the Services from abuse, fraud, and misuse; and
• improve the Services and develop new features.

We do not sell personal information, and we do not use athlete information for third-party advertising.

4. Athletes under 18

Recruit Passport is intended for student-athletes age 13 and older. Athletes under 18 must have a parent or legal guardian review this Policy, provide consent, and co-sign the Passport. Parents and guardians can review, edit, or request deletion of their child’s Passport at any time by contacting legal@recruitlinx.ai.

We do not knowingly collect information from children under 13. If we learn that we have collected information from a child under 13 without verifiable parental consent, we will delete it.

5. How Passports are shared

Athletes control the visibility of their Passport. Depending on settings and the recruiting audience, a Passport may be:

• Private to the athlete and any co-signing guardian;
• Shared with specific coaches via a link the athlete generates;
• Discoverable to verified coaches within the RecruitLinx network for the sport, class year, and region relevant to the athlete.

Athletes can change these settings at any time. Coaches see only what the athlete has chosen to include on the Passport.

6. Coach information

We collect the information necessary to verify a coach’s identity and affiliation, and we display program-level information (institution, sport, role) to athletes the coach interacts with. Coach saves and watch activity are private to the coach and are not shown to athletes; only explicit intent (messaging an athlete) generates a notification to the athlete.

7. Service providers we rely on

We use a small number of service providers to run the Services. They act on our instructions under written agreements and are not permitted to use information for their own purposes. Categories include:

• cloud hosting and database infrastructure;
• authentication and account security;
• transactional email delivery;
• video hosting and playback (for athlete-provided film);
• error monitoring and analytics used to keep the Services reliable.

8. Retention and deletion

We keep account and Passport information for as long as the account is active and for a limited period afterward, so that a Passport can be restored if an athlete returns. You can request deletion of your account and Passport at any time by contacting legal@recruitlinx.ai. We may retain limited information as required by law, to resolve disputes, or to enforce our Terms.

9. Your privacy choices

You can:

• view and edit your Passport and account information from within the product;
• change your notification cadence and share settings;
• request an export or deletion of your data by emailing us;
• report a coach, athlete, or message that appears to violate our Terms.

Residents of certain U.S. states and other jurisdictions may have additional rights (for example, to access, correct, or delete personal information, or to appeal a decision we make about a request). To exercise those rights, contact us and identify the right you are exercising; we will respond within the timeframe required by applicable law.

10. Security

We use administrative, technical, and physical safeguards to protect information, including access controls, row-level security in our database, and encryption in transit. Changes to a Passport record, verification decisions, and guardian consent are recorded with a dated history. No system is perfectly secure. If you believe you have discovered a security issue, please email legal@recruitlinx.ai with details so we can investigate.

11. International users

The Services are operated from the United States. If you use them from outside the United States, you understand that information will be transferred to and processed in the United States.

12. Cookies and similar technologies

We use a small number of cookies and similar technologies that are necessary for the Services to function (for example, to keep you signed in) and to understand aggregate product usage. We do not use third-party advertising cookies.

13. Changes to this Policy

We may update this Policy from time to time. If a change is material, we will provide reasonable notice before it takes effect. The “Last updated” date at the top of this page indicates when the Policy was last revised.
